General

What is Time Track?

Time Track allows you to keep track of how much time you spend doing something.

Time Track is a time logging program, originally designed for consultants and freelancers to minimize time spent logging hours and to enhance billing accuracy. It can be utilized by any profession and allows the user to quickly and easily log the durations of events.

Time Track also has a number of other features that aid in keeping track of your time and calculating time.

How do I get Time Track?

Time Track can be downloaded and evaluated for thirty days. If you wish to continue using Time Track after the thirty day trial period, you must purchase it.

Will Time Track run on my computer?

Time Track is available for Macintosh and Windows. A PalmOS version is currently being developed.

Time Track for Macintosh will run on Macintosh computers with PowerPC processors. There is also a Carbon version of Time Track for Macintosh that will run on MacOS X. Time Track for Windows runs on 32-Bit versions of Windows.

Yes, the Palm version of Time Track will include a conduit so that it can sync with the Macintosh or Windows version of Time Track.

How much does a Time Track license cost?

Licensing Options For Time Track

Time Track licenses are available in three types: Single User License, Site License, and World-Wide Site License. Each type is explained below.

1) Single User License - A Single User License allows a single person to use the software on a single desktop computer and/or a single laptop computer. A Single User License for software for the Palm operating system allows a single user to use the software on one PDA. The cost for a Single User License is $24.95.

2) Site License - A Site License allows anyone in the organization making the purchase, within a 160 km (100 mile) radius of the purchasing location, to use the software. This includes people from that organization who are travelling but it does not include people with locations outside of the 160 km radius. The cost for a Site License is $100.

3) World-Wide Site License - A World-Wide License allows anyone in the organization making the purchase to use the software. The cost for a World-Wide Site License is $250.

How do I use the Register application to purchase Time Track?

NOTE: The Register application is not currently available for Windows. Windows users should register online at: http://order.kagi.com/cgi-bin/r1.cgi?6DC&&

Open the Register program and enter your name, your email address, your postal address, and the number of single user licenses you desire for each program you wish to purchase ( or Site or Word-Wide licenses). Save or Copy or Print the data from the Register program and send the data and payment to Kagi. More specifics on the Register program to follow. Kagi handles our payment processing.

If paying with Credit Card, you can email or fax the data to Kagi. Their email address is sales@kagi.com and their fax number is +1 510 652-6589. You can either Copy the data from Register and paste into the body of an email message or you can Save the data to a file and you can attach that file to an email message. There is no need to compress the data file, it's already pretty small. If you have a fax modem, just Print the data to the Kagi fax number.

Payments sent via email are processed within 3 to 4 days. You will receive an email acknowledgement and your serial number when it is processed. Payments sent via fax take up to 10 days and if you provide a correct internet email address you will receive an email acknowledgement and your serial number.

If you are paying with Cash or USD Check, you should print the data using the Register application and send it to the address shown on the form, which is:

You can pay with a wide variety of cash from different countries but at present if you pay via check, it must be a check drawn in US Dollars. Kagi cannot accept checks in other currencies, the conversion rate for non-USD checks is around USD 15 per check and that is just not practical.

If you have a purchasing department, you can enter all the data into the Register program and then select Invoice as your payment method. Print three copies of the form and send it to your accounts payable people. You might want to highlight the line that mentions that they must include a copy of the form with their payment.

Kagi can not invoice your company, you need to act on our behalf and generate the invoice and handle all the paperwork on your end.

Please do not fax or email payment forms that indicate Cash, Check or Invoice as the payment method. As far as we know, there is still no technology to transfer physical objects via fax or email and without the payment, the form cannot be processed.

Payments send via postal mail take time to reach Kagi and then up to 10 days for processing. Again, if you include a correct email address, you will hear from Kagi when the form is processed.

If you do not have an email address, please enter your complete postal address so that we can send you your registration code. Also, if you do not have an email address, you must select the Postcard Receipt so that Kagi can inform you of your registration code. Kagi transmits the registration codes via email and paid postcard receipt only. Please remember, we do not know what country you live in, so please enter that into the postal address also.

Who is Kagi?

Kagi is the company that handles our payment processing. Kagi provides secure online ordering and also accepts payment via email, snail mail, fax, and telephone.

Kagi accepts all major credit cards (Visa, MasterCard, American Express, Optima, Discover (Novus), Diner's Club, Eurocard, Carte Blanche, JCB). Kagi also accept checks, cash, purchase orders (when accompanied by a check) and money orders. They process orders in over 40 currencies from around the world.

How Do I Get My Serial Number?

After you purchase Time Track though Kagi, Kagi will send you a receipt via email or snail mail, which will contain your serial number and isntructions for registering Time Track.

Is there a discount when purchasing multiple user licenses?

Currently, there are no discounts for purchasing multiple user licenses. We do offer Site Licenses and World-Wide Site Licenses, which will allow you to use Time Track for a number of users at a fixed price. You can find more information about these licenses here.

Use

There is a delay when I launch Time Track. How can I remove it?

This delay is present in the evaluation version of Time Track. Once you purchase Time Track and enter your serial number, this delay will not occur.

Time Track says I can't use a certain feature. How do I enable this feature?

Certain features are disabled in the evaluation version of Time Track. Once you purchase Time Track and enter your serial number, these features will be enabled.

How do I enter my serial number?

When you launch Time Track, a dialog appears which has three buttons. One of these buttons is labeled "Enter Serial Number". Press this button to make a dialog appear where you can enter your serial number. Make sure to enter your name exactly as you did when you registered.

How do I log the time I spend?

In Time Track's main window, enter a name for your log file in the "File" field or select a previously created log file from the popup menu on the right of the field. You may also wish to enter a description in the "Description" field. Then press the "Start" button. When you are done, press the "Stop" button.

How can I calculate the hours, minutes, and seconds between two dates and times?

Select "Elapsed Time Calculator" from the "Utilities" menu. The Elapsed Time Calculator window will appear. Enter the Start Date and Time and the Stop Date and Time. Keep in mind that the hours field uses the 24 hour format (1:00PM is 13, Midnight is 24, etc.). Then press the "Calculate" button. The "Total Time" field will contain the amount of time that elapsed from the Start Date and Time to the Stop Date and Time in this format - HH:MM:SS.

You can also log this duration to a file if you wish by pressing the "Log" button.

I forgot to log the time I spent doing something. How can I add that time to the log file?

Use the Elapsed Time Calculator to calculate the elapsed time and press the "Log" button to log it to a file. You can find more instructions for using the Elapsed Time Calculator here or you can read the instructions on the dialog.

How can I calculate the total time in a log file?

Select "Total Time Calculator" from the "Utilities" menu. The Total Time Calculator window will appear. Press the "Load" button and select a log file to load. Each of the time entries will be added to the "Individual Times" list and the total of all of the entries will be in the "Total Time" field.

Continue loading all of the log files that you wish to add. How can I calculate the total to charge based on my hourly rate and the hours that I worked?

Select "Rate Calculator" from the "Utilities" menu. The Rate Calculator window will appear. Select a log file from the popup menu to automatically insert the total time into the "Total Time" field or enter it yourself. Next, enter your hourly rate into the "Rate" field. Then press the "Calculate" button. The total to charge will be in the "Total Charge" field.

Where are the log files kept?

By default Time Track creates all of the log files in the "Logs" folder which is in the same directory as Time Track. These log file can be moved anywhere the user wants but they will not be shown in the various popup menus in Time Track unless they are in that folder.

How do I know what version of Time Track I have?

When you launch Time Track for Macintosh, the first dialog, which is called the splash screen, displays the Time Track version number.

How can I edit a log file manually?

Select "Open" from the "File" menu. Then select the log file that you would like to edit. You can also drop the log file you wish to edit onto the application's icon.

NOTE: Manual editing of the log files is not suggested unless you know what you are doing. You may inadvertently corrupt the log file format and cause future calculations to be incorrect.

I've edited a log file manually and now the calculations are off. What can I do?

Select "Verify Log File" from the "Utilities" menu. You will be prompted to select a log file. Once a log file is selected, a window will appear which separates all of the valid time entries in the log file from the rest of the data. If you find a time entry in the "Other Data" list, then you know that that time entry has been corrupted and needs to be fixed or replaced. If you find data in the "Valid Time Entries" list that is not a time entry, then that data should be removed.

Can I use AppleScript with Time Track?

Time Track is now AppleScriptable. Sample scripts are included in the "AppleScripts" folder in the downloadable archive.

Can Time Track track how long a window is open in the Finder?

Yes, Time Track 1.2 and later can track how long a folder is open in the Finder using AppleScript.

In the downloadable archive, there is an AppleScripts folder. In this folder are a number of sample scripts including one called "Log Folder Actions". If you attach this script to a folder then whenever the folder is opened Time Track will start logging and when the folder is closed Time Track will stop logging. Time Track must be running in order for this to work. You may want to modify the script to launch Time Track first.

To attach an AppleScript to a folder in MacOS 8 - 9:
  1. Hold down the Control key and click on the desired folder.
  2. Select "Attach a Folder Action..." from the menu that pops up.
  3. Find the AppleScript on your hard drive and select it.
To attach an AppleScript to a folder in MacOSX:
  1. Open "Script Menu.menu" which is located in: /Applications/AppleScript/
  2. Opening "Script Menu.menu" will cause an AppleScript menu to be added to your menu bar. It is an AppleScript Icon on the right side of the menu bar.
  3. Copy the ApplesScript that you want to use to your Folder Action Scripts folder, which is located: User/Library/Scripts/Folder Actions Scripts/
  4. From the AppleScript menu, select "Folder Actions -> Enable Folder Actions".
  5. From the AppleScript menu, select "Folder Actions -> Attach Script To Folder".
  6. Select the AppleScript from the list.
  7. Then select the folder to attach the AppleScript to.
By default the script tells Time Track to use the name of the folder as the description of the log entry. You can change the description and log by editing the AppleScript with Script Editor. Script Editor is usually in this folder on MacOS 9:

Applications (MacOS 9)/Apple Extras/AppleScript/Script Editor

How do I upgrade to the latest version of Time Track?

Follow these simple steps to upgrade from Time Track 1.x to Time Track 2.x:
  1. Make a backup of your Logs folder. We suggest burning a copy to CD or using Apple's Backup application.
  2. Download Time Track 2.x from our website:

  3. If you are using Safari, it will automatically decode and mount the "Time Track 2.0.1" disk image. If you are not using Safari, double click on the "timetrack201_OSX.dmg" file to mount it.
  4. A window will open containing a folder. Drag this folder to your Applications folder. You will be asked if you want to replace the existing version. Click on the "Replace" button.
  5. Close the window.
  6. Drag the "Time Track 2.0.1" disk image to the trash.
  7. Go to your Applications folder, and open the Time Track folder.
  8. You can keep your Logs folder anywhere on your hard drive. If you keep it in the same folder as the Time Track application, copy your backup Logs folder to this folder. You will be asked if you to replace the existing folder. Click on the "Replace" button.
  9. Double click on the Time Track application to launch it.
  10. Click on the "Enter Serial Number" button and fill out the registration dialog to register your copy of Time Track.
  11. Select "Preferences" from the "Time Track" menu.
  12. Click on the "Logs" tab.
  13. Verify that the Logs folder path is correct. If it is not, click on the "Choose" button and select your Logs folder.
You are now ready to use Time Track 2.x.
